IMPORTANT NOTICE — READ BEFORE ACCEPTING
These Terms and Conditions contain a BINDING ARBITRATION provision and a CLASS ACTION WAIVER that affect your legal rights. By completing enrollment, you agree to resolve disputes through binding arbitration rather than in court and waive your right to a jury trial and class action participation. See Section 9 below for full details.
Section 1 — PARTIES AND AGREEMENT:
This Enrollment Agreement ("Agreement") is between LTCA LLC, doing business as Love to Code Academy ("Love to Code Academy"), and the parent or legal guardian completing this enrollment ("you" or "Parent/Guardian") on behalf of the enrolled student ("Student").

By accepting this Agreement, you confirm that you are the Student’s parent or legal guardian with full authority to enroll the Student and to enter into this Agreement on the Student’s behalf. This Agreement incorporates Love to Code Academy’s complete Master Services Agreement (MSA Version 1.0), which is available in full through the Registration Portal and in your Family Record.
Section 2 — PROGRAMS AND ENROLLMENT:
Love to Code Academy offers technology and STEM enrichment programs including afterschool classes, day camps, and workshops. Programs are delivered in-person at our Kansas City facility. Love to Code Academy is an enrichment program provider — it is NOT a licensed childcare facility.
Enrollment is complete only when: (1) this Agreement is accepted, and (2) payment is successfully processed. No student may participate without a completed enrollment. Age eligibility and prerequisite requirements apply per program listing.
Key enrollment terms:
- All registrations must be completed through the Registration Portal.
- Paper intake forms do not constitute enrollment.
- Love to Code Academy reserves the right to decline or reverse any enrollment that does not meet stated eligibility requirements.
- Re-enrollment following any termination requires Executive Director approval.
Section 3 — PAYMENT TERMS:

Additional payment terms:
- Returned/failed payment fee: $35.00 per occurrence.
- Late pickup fee: $25.00 per 15-minute increment after a 15-minute grace period.
- Tuition is owed regardless of attendance. Missed sessions are not refundable.
- Outstanding balances must be resolved before future enrollment is permitted.
- Love to Code Academy will dispute chargebacks using signed MSA acceptance records.
Section 4 — CANCELLATIONS AND REFUNDS:
All cancellation requests must be submitted in writing to enrollment@lovetocodeacademy.com. Verbal requests and staff text messages are not valid. Refund eligibility is determined by the date Love to Code Academy receives the written request.

When a refund is owed, families choose between a cash refund to the original payment method (processed within 14 business days) or an account credit valid for 12 months. Conduct-based removal refunds are at Executive Director discretion only.
Section 5 — CONDUCT, DISMISSAL & PICKUP:
Students are expected to treat staff and fellow students with respect, handle equipment with care, and follow instructor direction at all times. Love to Code Academy maintains a progressive discipline policy (verbal warning → written warning → parent contact → suspension → removal).
Immediate removal without progressive discipline applies to:
- Physical aggression toward any person
- Possession of a weapon or dangerous object
- Intentional destruction of property
- Any behavior creating immediate safety risk
Removal for conduct does not guarantee a refund. Parent/guardian conduct that is threatening or abusive toward staff may result in termination of the student’s enrollment.
Pickup rules:
- Students are released only to individuals listed as Authorized Pickups in the Family Record.
- Photo ID may be requested at any pickup.
- Inside sign-out required — no curbside release.
- Late pickup fee: $25.00 per 15 minutes after a 15-minute grace period.
- Personal phones must be stored away during all program sessions.
Section 6 — HEALTH, SAFETY & MEDICAL:
You are required to disclose all known allergies, medical conditions, medications, and emergency action plans in the Family Record at enrollment. Failure to disclose is a material breach of this Agreement.
Illness exclusion:
- Students must be fever-free (below 100.4°F) for 24 hours without fever-reducing medication before returning to any program.
- Students who become ill during a session will be separated and families contacted for immediate pickup.
Medication: Staff do not administer medication except EpiPen or emergency medication with written physician action plan and advance parental authorization on file.
Emergency: By enrolling, you authorize Love to Code Academy to seek emergency medical care for the Student if you cannot be reached in a life-threatening emergency. Love to Code Academy will call 911 immediately for life-threatening emergencies. For significant non-life-threatening situations, parents are contacted first.
Section 7 — PRIVACY, DATA & MEDIA RELEASE:
Love to Code Academy collects student and family information for program delivery, safety, billing, and communication purposes only. Data is stored in our secure Odoo registration system and Microsoft 365 environment. We do not sell student data. We do not use student data for advertising.
Data retention: Student records are retained for 3 years from the end of the last active enrollment, then deleted or de-identified.
Media release — two-tier consent model:
- Internal use (attendance, safety, training): Opt-out. Assumed unless you decline below.
- External use (marketing, social media, website, press): Opt-in. Requires your affirmative selection below.
Love to Code Academy never identifies students by name in any public-facing content. Students under 13: External consent is opt-in regardless of general model. COPPA protections apply.
Student work: All code, projects, and creative work produced during programs are the property of Love to Code Academy. Students receive a personal non-commercial license to share their own work.
Data rights: You may request access to, correction of, or deletion of your student’s data at any time by emailing enrollment@lovetocodeacademy.com.
Breach notification: Love to Code Academy maintains a data breach response plan aligned to Missouri RSMo § 407.1500 and will notify affected families in the event of a qualifying breach.
Section 8 — TECHNOLOGY USE:
Students use Love to Code Academy-owned devices exclusively during programs. All devices are managed through Microsoft Intune with content filtering and monitoring in place. Students have no expectation of privacy on Love to Code Academy devices.
Students may not:
- Access unauthorized websites, applications, games, or social media platforms.
- Attempt to bypass security or content filtering controls.
- Install software or change device settings without staff authorization.
- Share login credentials or access another student’s account.
- Use AI or code generation tools to complete program work without staff authorization.
Device damage: Students and families are financially responsible for intentional or reckless damage to Love to Code Academy devices. A written damage assessment will be provided before any charge is applied.
Personal phones: Personal phones must be stored away during all program sessions. Parent recording is permitted only during designated showcase or presentation events.
Section 9 — ASSUMPTION OF RISK, LIABILITY WAIVER & BINDING ARBITRATION:
PLEASE READ THIS SECTION CAREFULLY. IT AFFECTS YOUR LEGAL RIGHTS.
ASSUMPTION OF RISK: Love to Code Academy Programs involve hands-on technology activities including computers, LEGO systems, VEX Robotics, and iPads. You voluntarily assume all inherent risks of participation, including minor injuries from equipment use, slips and falls, and related risks that cannot be eliminated through reasonable precautions.
RELEASE OF LIABILITY: You release LTCA LLC d/b/a Love to Code Academy, its members, officers, employees, and contractors from claims arising from ordinary negligence in connection with Program participation. This release does NOT apply to gross negligence, reckless conduct, or willful misconduct.
LIMITATION OF LIABILITY: Love to Code Academy’s total liability for any claim is limited to the tuition paid for the specific program session in which the incident occurred. Consequential, indirect, and punitive damages are excluded to the maximum extent permitted by Missouri law.
BINDING ARBITRATION AGREEMENT: BY ACCEPTING THIS AGREEMENT, YOU AGREE THAT ALL DISPUTES ARISING FROM THIS AGREEMENT OR THE STUDENT’S PROGRAM PARTICIPATION WILL BE RESOLVED BY BINDING ARBITRATION UNDER THE AMERICAN ARBITRATION ASSOCIATION CONSUMER ARBITRATION RULES, RATHER THAN IN COURT. YOU WAIVE YOUR RIGHT TO A JURY TRIAL. Arbitration will take place in Clay County, Missouri. The arbitrator’s decision is final and binding.
CLASS ACTION WAIVER: YOU AND LOVE TO CODE ACADEMY AGREE THAT EACH MAY BRING CLAIMS ONLY INDIVIDUALLY AND NOT AS A CLASS MEMBER IN ANY CLASS ACTION, CONSOLIDATED ACTION, OR REPRESENTATIVE PROCEEDING. YOU WAIVE YOUR RIGHT TO PARTICIPATE IN OR BRING A CLASS ACTION.
DISPUTE PROCESS: Before initiating arbitration, you must submit a written complaint to enrollment@lovetocodeacademy.com and allow 15 business days for Love to Code Academy to respond.
INDEMNIFICATION: You agree to defend and hold Love to Code Academy harmless from third-party claims arising from the Student’s conduct, your conduct, or your breach of this Agreement.
